This Privacy Policy explains how Visualise Limited t/a Reaction (“we”, “us”, “our”) collects, uses, and protects information when you use the BillPoster mobile application (the “App”), published on the Google Play Store.

BillPoster is a field operations and campaign execution application used by authorised users to manage, complete, and verify in-store advertising and merchandising tasks on behalf of their organisation.

2. Information we collect

When you use BillPoster, we may collect the following categories of information:

Account and identity information

  • Name

  • Email address

  • User role and permissions

  • Organisation association (e.g., retailer, operator, administrator)

Operational and task data

  • Campaign and task assignments

  • Task completion status and timestamps

  • Activity logs relating to task progress and sign-off

  • Notes or structured inputs captured during task completion (where applicable)

Photos and media (proof of posting / completion)

  • Photos uploaded by users as evidence of task completion

  • Associated metadata where available from the device (for example, time of capture).
    If the app requests location permissions, location data may also be included in photo metadata depending on device settings and user consent.

Device and technical data

  • Device type, operating system, and app version

  • Crash reports and diagnostic logs

  • Offline synchronisation and error events needed to ensure reliable syncing

BillPoster does not sell personal data and does not use personal data for advertising.

3. How we use information

We use information collected through BillPoster to:

  • Provide and operate the App and its core functionality

  • Assign, manage, and track campaign tasks

  • Verify completion and compliance (including review of evidence photos where used)

  • Generate operational reports and audit records for authorised organisations

  • Support offline-first usage and synchronise data when connectivity returns

  • Maintain security, troubleshoot issues, and improve performance and reliability

  • Respond to support requests

4. Data sharing and disclosure

Information collected through BillPoster is shared only as necessary to operate the service and support authorised operational workflows:

  • With the organisation that provisioned the user account: evidence, task status, and operational records may be visible to authorised administrators and reviewers within that organisation.

  • With service providers: we may use trusted third parties for hosting, storage, and technical operations (for example, infrastructure providers). These providers act under our instructions and are bound by confidentiality and security obligations.

We do not sell personal data. We do not share personal data with third parties for advertising or marketing purposes.

5. Data retention

We retain information only for as long as necessary to:

  • Provide the service and maintain operational records

  • Meet contractual, legal, or regulatory obligations

  • Support auditing, dispute resolution, and compliance requirements

Retention periods may vary depending on agreements with the organisation using BillPoster.

6. User rights and access requests

Depending on your location and applicable law, you may have rights to request access to, correction of, or deletion of your personal data. Some requests may be limited where data must be retained for operational, contractual, or legal reasons.
